Clinic Policies
Clear policies to support consistent, high-quality care

These policies help ensure appointments run smoothly, protect your privacy, and allow us to provide timely care to all patients.

Cancellations &
No-Shows
We require one full business day notice to cancel or reschedule an appointment (24 hours, not including weekends/holidays).

Appointments that are missed or canceled without adequate notice will be charged a $100 fee.

Your appointment time is reserved specifically for you. Because we do not double-book visits, late cancellations and missed appointments prevent another patient from being seen.

Please note: Future appointments may not be scheduled until outstanding fees are paid.
Communication
(Phone & Email)
Email is not a secure method of communication and should not be used to discuss private health information. For clinical questions or sensitive information, please use the Patient Portal (you will receive access after registration).

Because we are often with patients during the day, we may not be able to answer calls immediately. Please leave a detailed voicemail, and we will respond as soon as possible. If calls become frequent or time-intensive, we may recommend scheduling an earlier follow-up appointment.

Emergency Notice: If you are experiencing a mental health emergency, call 911 or go to your nearest emergency room.

Medication Refills
To request a refill, please contact your pharmacy first to check whether you already have refills available.

If a refill is needed, requests must be submitted through our office at least 3 business days in advance (not including weekends or holidays).

For safety and continuity of care:
-
Patients must have a follow-up appointment scheduled in order for refills to be processed.
-
Refill requests should be made with enough time to prevent running out of medication.

Payments & Insurance
A credit card may be kept on file to cover copays, deductibles, and late cancellation/ no-show fees.
We use an automatic payment system for convenience and to keep billing simple.

If you are using insurance, we encourage you to contact your insurance company to verify benefits and confirm coverage, including out-of-network benefits when applicable.

Privacy & Confidentiality
Your privacy is important to us. We follow all HIPAA regulations to protect your personal health information.
